Step by step guide for reserving a Girl Scout property
Welcome! We are so glad you are choosing to spend time at one of our beautiful properties. Our reservation process is pretty simple actually, but might seem complicated if it’s your first time through this process. All property reservations are handled by camp registrar in the Chicago office. We will be opening up our property more to outside group rental, so it is best to plan more than six months in advance.
Six Simple Steps:
- Decide what meeting space, recreation amenities and lodging accommodations you would like to use. You may wish to visit the property and have a member of our site team show your around before you decide. Just call our Registrar to schedule a visit. Check out the detailed information on each property to help you make your decision. Do you have a small troop? We've pulled together suggestions for small troops looking to go camping.
- Send us your application available in a fill-in PDF or print-only PDF.. You may email, mail or fax forms to the Camp Registrar. Once all the required information is entered in our system, our Registrar will send you an agreement.
- Send back the signed agreement with a security deposit (10% of estimated bill) and reservation deposit (40% of estimated bill).
- Start marketing your event early, keeping us updated on how registration is coming. Your group should supply participants a parental release form as hospitals today are increasingly reluctant to treat minors without parental consent. If you need a sample blank form, please ask our Registrar to send you one.
- Send copies of the license or license numbers for your first aid person, physician, nurse or EMT. Remember, this person does not have to pay to stay or eat at our property, and must be present on site throughout your groups stay.
- Send us your lodging roster, hospitality guide, final numbers for activities and meals and final payment at least five days before your begin date. If you have questions on how to figure the bill, please contact our camp registrar for help. Please remember to bring a cell phone with you in case of emergency.
Girl Scout groups will have first priority to rent camp/program center facilities up to six months prior to your event start date. Sooner than six months the facilities become available to new outside group rental, but may still be available. In other words, it is best to plan six month in advance.
